Administrative/Staffing Assistant for CarePlus Home Health

Job Summary Statement:

The Administrative/Staffing Assistant is primarily responsible for providing clerical support for each department as well as assistance with staffing including addressing the needs of prospective clients and caregivers. 

Primary Responsibilities:

  • Ensure that all client and caregiver issues are handled promptly and effectively in order to consistently achieve the highest level of client satisfaction
  • Develop knowledge of the market from a client’s and caregiver’s perspective
  • Develop and maintain a high level of knowledge of CarePlus’ services
  • Reflect the core values of CarePlus 
  • Greet and welcome each visitor in a friendly, warm and professional manner
  • Answer each incoming call in a friendly, professional and knowledgeable manner and distribute incoming calls to the appropriate staff members
  • Answer inquiries from potential clients and/or complete intakes
  • Assist with the hiring process for new caregivers, including answering potential employee inquiries and moving applicants through the process
  • Assist with staffing ongoing and new cases; look ahead and prioritize cases that need immediate attention
  • Communicate client and caregiver concerns or problems with owner or other staff members as appropriate 
  • Assist with mailing and distributing caregiver payroll checks 
  • Assist the HR department in keeping caregiver certifications up to date
  • Ensure CarePlus standards are met and upheld
  • Maintain regular attendance at the office to execute job responsibilities
  • Demonstrate open and effective communication with owner, colleagues and caregivers
  • Maintain inventory and organize distribution of PPE for all caregivers
  • Assist with reference calls on prospective caregivers in a timely manner  
  • Participate in staff meetings
  • Make regular follow-up calls to clients to ensure client satisfaction
  • Make regular follow-up calls to caregivers to ensure availability & confirm current demographic information 
  • Order and stock office supplies as needed
  • Maintain and update client and caregiver records in ClearCare, the agency’s scheduling system
  • Maintain and update a current list of available caregivers
  • Take after-hours call as needed
  • General office filing
  • Perform any and all other functions deemed necessary
